Everything the Customer Portal does today, by topic. Simplicity comes first: your firm does little, the client does most of it, and the portal tells you what is still missing.
1Client onboarding
“New company” in five steps
- One wizard: company, people, structure, files and inviting the client. Every step is saved, so you can continue later.
- Start with the KvK number: name, legal form, address, founding date, SBI activities and locations come from the Dutch trade register (KVK API).
- No KVK connection? A name or a KvK extract (PDF, photo or scan) is enough.
- People and a holding from the extract are suggested; you confirm with one click.
Addresses and numbers right first time
- Postcode and house number fill in street and city from the BAG (Dutch Kadaster, through PDOK).
- KvK numbers, VAT numbers and IBANs are checked as they are typed.
- Check a VAT number in the European VIES register with one click.
The client completes it
- The client’s own onboarding: business or private, personal details, partner and children, legal form, owners and board, services, bookkeeping software, authorisations, documents, Wwft questions and confirm.
- The portal only asks what fits the client and is not yet known. Never the BSN.
- Your firm checks what the client enters field by field before it goes into the file.
A login for everyone
- Every owner, director, partner or UBO can get their own login, limited to their own details and ID.
- One login for several companies, with a switcher.
- Clients change their address and contact details themselves. A new IBAN waits for your firm’s confirmation (against invoice fraud).
“Not complete yet”
- Empty fields are allowed, but the portal says what won’t work until they are filled in. For example: no email address, no document request.
- What is missing is asked from the contact person.
2Companies, structures and people
The law is built in
- Every Dutch legal form: BV, NV, stichting, STAK, vereniging, coöperatie, VOF, CV, maatschap, eenmanszaak and freelancer (zzp), SE, SCE, EESV, rederij, kerkgenootschap, public-law body, trust and foreign legal forms.
- The portal knows what Dutch law allows. An eenmanszaak or VOF never sits under a BV; a BV has at least one shareholder and one director; a stichting has no owners.
- What is not allowed is refused with the reason. What already exists and does not fit is flagged with a fix; nothing is ever removed by itself.
Drawing structures
- Drag and drop, with percentages. Start from a template or build your own.
- A “+” on every box offers only what the law allows at that spot.
- Swap holding and operating company, remove boxes, or add a holding above with one click.
- A new holding can become a client too, with its own folder.
Company details in one place
- Every detail of a company is changed on one page.
- Changes flow through by themselves to the due diligence, document requests, mailings and the SharePoint folder.
- Main location and branches, also fetched from the KVK.
People and families
- People, families and relations: tax partner, children and in-laws.
- Quick search on name, year of birth or city.
- A client changes only themselves, their partner and children. Others complete their own details with their own login.
- A child’s nationality follows from both parents (Dutch Nationality Act).
3Client due diligence: Wwft and AMLR
The due diligence follows the Dutch Wwft and switches automatically to the EU Anti-Money Laundering Regulation (AMLR) on 10 July 2027. Your firm can also choose which rules apply.
UBOs worked out
- UBOs follow from the structure; indirect interests are calculated through holdings.
- Also for stichtingen and STAKs, with pseudo-UBOs (the board) when there is no UBO.
- Compare with a UBO register extract; the differences are ready for a discrepancy report.
Identification
- Upload a passport or ID card: the machine readable zone (MRZ) is read and checked.
- Front and back are paired automatically.
- The BSN is blacked out for good; the original is not kept.
- Optional: identify with iDIN through the client’s own bank (through an iDIN provider).
Risk
- A suggested risk level with its reasons: PEP, sanctions match, high-risk countries or a complex structure.
- PEP questions per person, also for family members and close associates.
- The EU list of high-risk third countries is built in.
Sanctions lists, every day
- The EU consolidated sanctions list (including the UN sanctions the EU adopts) and the Dutch national terrorism list.
- Refreshed every day; everyone is checked again, on name, date of birth and nationality.
- A possible match goes to your firm for review, showing which list it came from.
Periodic reviews
- An interval per risk level, set by your firm.
- Sooner when something changes: a new UBO, another legal form, an expired ID, a new sanctions or PEP match.
- The client is asked beforehand to confirm their details; every advisor gets a weekly overview.
The file
- The client answers the Wwft questions in the onboarding; your firm confirms.
- Every completed review as a PDF file in the client’s Wwft folder in SharePoint.
- Reviews of former clients are kept for the legal five years, then removed.
4Documents and recognition
Uploading
- Clients upload files in the portal; they land in their own SharePoint folder.
- Up to 2 GB per file; an interrupted upload continues where it stopped.
- The same file again? The portal knows it by its content and keeps it once.
- View Word and Excel files in the portal.
Document requests
- Ask a client for specific documents, with a due date.
- The client sees an upload button per document and gets reminders automatically.
- When the portal recognises the requested document, the request is marked “received”.
Recognition
- Every document is read in the background: PDF text and text recognition (OCR) on your own server. Nothing is sent to an outside service.
- Recognises ID documents, annual income statements, WOZ decisions, bank statements, KvK extracts, registers of shareholders, UBO register extracts and articles of association, among others.
- Shareholders, UBOs and company details it finds become suggestions you confirm one by one.
The portal learns
- When the portal is in doubt, the document goes to a queue. You point out where things are and the portal learns that sender’s layout.
- What it learns applies to all clients. Advisors may teach it too.
- Knowledge packs: export and import what the portal learned, anonymously, in every installation.
A whole folder at once
- A ZIP with all of a client’s documents (up to 10 GB) is unpacked, read and sorted in the background.
- Review it in five steps; nothing is discarded before you approve, and your choices are learned.
- Create holdings from KvK extracts in the ZIP with one click. A ZIP can be undone too.
Email to the portal
- Email with attachments sent to the portal’s mailbox is linked to the right client; the attachments become normal uploads.
- Email from an unknown sender waits in a separate list.
5Tax
Tax overview per year
- Per client and per year: income from work, own home, box 3 and deductions such as healthcare costs and gifts.
- Amounts come from the documents read; your firm corrects or adds.
- Tax rules per year from 2015, every value with its source. Your firm checks and adjusts them.
Allowances and IACK
- Per person a hint whether they are probably entitled to the income-related combination tax credit (IACK), healthcare allowance or child-related budget.
- When details are missing, the portal says which.
- Clients upload the related documents, such as an allowance decision.
Annual statements and WOZ
- Annual income statements are linked to the right person automatically and counted only once.
- Look up WOZ values for your client’s addresses (through WOZ-API.nl).
Everything works with fixed rules, without AI. These are hints, not advice: your advisor decides.
6Laws and subsidies
Law changes
- The portal follows laws on wetten.overheid.nl, such as the Income Tax Act 2001, the Corporate Income Tax Act 1969, the General Tax Act (AWR), the WOZ Act and the Wwft, and the news of the Dutch Tax Administration.
- Every change is linked to the clients it may apply to.
- Every advisor gets a weekly email with only what affects their own clients, with a link to the official source.
Subsidies from RVO
- Schemes from the open data of RVO (Netherlands Enterprise Agency), updated automatically.
- Matched to your clients by sector (SBI), region and client characteristics.
- With fixed rules, without AI; your firm adjusts the matching itself.
7Microsoft 365
SharePoint per client
- Every client gets their own folder in your firm’s SharePoint site.
- Rename a client and the folder name follows; files stay where they are.
- Clients never enter SharePoint themselves: everything goes through the portal.
One shared mailbox
- All email goes out from one shared mailbox of your firm; it needs no extra licence.
- A DNS check shows which SPF, DKIM and DMARC records are missing, so email doesn’t end up in spam.
Sign in with Microsoft
- Staff sign in with their own Microsoft 365 account.
- Invite colleagues from Microsoft 365 as advisors with one click.
Connect from the portal
- “Connect to Microsoft 365”: an administrator signs in with a code and the portal does most of the rest itself. A script remains available as an alternative.
- The connection uses a certificate instead of a password. The portal warns well before it expires.
8Email and mailings
Automatic emails
- Invitations, document requests and reminders.
- The advisor gets an email when their client uploads or changes something; several files come in one email.
- Reminders for reviews, a weekly overview per advisor, law changes, backup notices and security alerts.
- Every email in your firm’s branding and in the recipient’s language.
Mailings
- In four steps: when, for whom, text and check.
- Once or repeating: every day, week, month, quarter, half year or year.
- A text per kind of client (BV, VOF, eenmanszaak, private individual and more), so everyone gets exactly one email.
- Placeholders such as salutation, company name and advisor. Never a BSN.
Translation and opt-out
- Optional: let DeepL fill in the English text. Only the template text goes to DeepL, never client data.
- Newsletters carry an unsubscribe link (Dutch Telecommunications Act); service emails keep coming.
- The portal keeps to Microsoft 365’s sending limits.
9Signing
How it works
- Choose a PDF and the signers; they get an email with a link to the portal.
- Sign with your full name and a fresh code from the authenticator app.
- Who, when and which version of the document: everything is recorded.
Sealed
- After the last signature the portal adds a signing certificate page and seals the PDF digitally, with a timestamp.
- Any later change shows in a PDF reader.
- The signed document goes to the client’s “Ondertekend” (signed) folder and to everyone involved.
Legal
- An advanced electronic signature under eIDAS. It has the same legal effect as a handwritten signature (Dutch Civil Code, article 3:15a) and suits almost every document an accounting firm handles.
- Optional: your own document-signing certificate, so PDF readers show the seal as trusted straight away.
10Management, installation and licence
Installation
- One installer for Windows (x64); the portal runs as a Windows service.
- Caddy is included as a secure front door with a free HTTPS certificate; your own reverse proxy works too.
- Updating means running the new installer; data and settings stay.
Backups
- Every night a backup on the server itself.
- Every night an encrypted backup away from the server: to SharePoint, an SFTP server or both. Optionally every hour during office hours too.
- Backups go to a SharePoint library of their own that only owners can open, with a required strong password.
- “Move to another computer”, and restoring on a new PC without setting anything up again.
- “Test restore” checks a backup without touching anything. When a backup fails, the owners get an email.
Health check
- A health check of the connections: Microsoft 365, text recognition, virus scanner and certificates.
- A status screen on the server with the service, backups, administrators, licence and restore steps.
- The portal says when a (security) update is available. It never installs anything on its own.
- A “Security” page with the current state: BitLocker, Defender, Windows updates, firewall, backups, 2FA and certificates, with advice per item.
- A Dutch manual with screenshots, in the portal and with the installer: installation, connections, backup, security, disaster recovery and moving.
Roles, language and branding
- Roles: advisor, administrator and owner. Advisors see only their own clients, unless an administrator gives them access to all clients.
- Dutch and English, and a light and a dark theme.
- Your firm’s logo, colours, font and texts on every screen and in every email.
Licence
- No maximum number of clients: you pay per active client.
- The licence is checked on the server itself.
- When the licence ends, existing clients keep working and nothing is removed.
- Connections such as KVK, WOZ-API.nl, iDIN and DeepL use your firm’s own account.
